FieldMap respects your privacy and is committed to protecting the information entrusted to us.
This Privacy Policy explains how FieldMap ("FieldMap," "we," "us," or "our") collects, uses, stores, shares, and protects information when you visit thefieldmap.com, use the FieldMap application and related services, join our Early Access program, communicate with us, or otherwise interact with FieldMap.
FieldMap is a building-technology documentation platform designed for technicians, integrators, facility teams, physical security professionals, and other organizations that document, maintain, and service physical systems.
1. Information We Collect
Information You Provide to Us
We may collect your name, email address, Company or Organization name, job title or role, account and profile information, Early Access and waitlist information, communications, support requests, feedback, billing and subscription information, and information submitted through forms, surveys, or other FieldMap features.
Customer Content
Organizations and authorized users may upload, create, or maintain Customer Content, including Organizations and Locations, Objects and equipment records, system relationships, identifiers, service history, notes, technician knowledge, Stories, Tickets, Work Orders, photos, documents, floorplans, QR codes, labels, configuration information, and building-technology, physical-security, access-control, network, and low-voltage documentation. The Organization that submits Customer Content retains ownership of that content, subject to the FieldMap Terms of Service.
Usage and Technical Information
We may automatically collect IP address, browser and device type, operating system, pages or features viewed, access dates and times, referring pages, feature interactions, session and performance information, approximate IP-derived location, and diagnostic and error information.
2. How We Use Information
We may use information to provide and operate FieldMap; create and administer accounts and Organizations; authenticate users; maintain Organizations, Locations, Objects, Stories, Tickets, Work Orders, and related records; process requested AI Actions; generate QR codes, labels, reports, exports, and other outputs; manage subscriptions and billing; process Early Access requests; communicate with users; provide support; improve the service; diagnose problems; protect against fraud, abuse, or security threats; enforce agreements; and comply with legal obligations.
3. AI Features and AI Actions
When an authorized user intentionally invokes an AI Action, information necessary to perform that request may be processed by FieldMap and one or more third-party artificial intelligence service providers. Depending on the request, this may include Customer Content, text, images, documents, system information, or other information selected by the user. FieldMap does not intend for merely viewing previously generated AI information to initiate new AI processing. Users and Organizations are responsible for determining what information is appropriate to submit.
4. Partner-Managed Organizations
FieldMap Partner allows authorized service providers to manage certain Organizations on behalf of customers. Partner authorization does not transfer ownership of the Organization or Customer Content. The customer retains ownership of its Organization and documented history. Authorized Partner users may access Customer Content and perform permitted actions according to FieldMap permissions. If a Partner sponsors a subscription, payment does not transfer ownership.
5. Billing and Payment Information
FieldMap may use third-party payment processors, including Stripe. Processors may collect name, billing address, payment-card or bank information, and transaction information. FieldMap does not need to store complete payment-card numbers when payments are processed directly by the processor. We may retain transaction records, subscription information, invoices, payment status, and related records for accounting, fraud prevention, support, and legal compliance.
6. Early Access, Forms, and Communications
When you join Early Access, submit a website form, or request information, we may use customer-relationship and communication services, including GoHighLevel (GHL), to process and manage your request, communicate with you, manage customer relationships, understand interest, and send relevant product communications where permitted. You may unsubscribe using the instructions in those communications.
7. Analytics, Cookies, and Similar Technologies
FieldMap and service providers may use cookies, pixels, scripts, local storage, and similar technologies to operate the website, understand usage, improve performance, and measure engagement. These technologies may collect device and browser information, IP address, pages viewed, navigation behavior, clicks, referring websites, and session information. Browser settings may allow you to control certain cookies.
8. How We Share Information
We do not sell personal information to advertisers. We may share information with service providers that support hosting, payment processing, AI, analytics, CRM, email, communications, security, support, and monitoring; with authorized users and Organizations; with authorized Partners; when required for legal or safety reasons; or as part of a merger, acquisition, financing, restructuring, sale of assets, or similar transaction.
9. Data Ownership
Customers retain ownership of the Customer Content stored in their FieldMap Organizations. FieldMap does not claim ownership of a customer's system documentation merely because it is stored or processed through FieldMap. We may process Customer Content as necessary to provide, maintain, secure, and improve the service and as described in our Terms of Service and this Privacy Policy.
10. Data Retention
We retain information as reasonably necessary to provide FieldMap, maintain accounts and Organizations, fulfill the purposes described here, maintain security, resolve disputes, enforce agreements, and meet legal, accounting, tax, and regulatory requirements. Some information may remain temporarily in backups, logs, archives, or disaster-recovery systems.
11. Account and Organization Deletion
Organization Administrators and other authorized users may request deletion by contacting FieldMap. We may verify identity and authority before deleting an Organization or Customer Content. Deletion may be subject to contractual obligations, account ownership, legal requirements, backup retention, unresolved billing matters, and other legitimate retention requirements.
12. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security. Organizations and users are responsible for protecting credentials and managing access.
13. Your Privacy Choices
Depending on your relationship with FieldMap and applicable law, you may be able to update or correct account information, request access or deletion, manage communication preferences, manage users and permissions, and remove authorized Partner access. Contact us to submit a privacy request.
14. Children's Privacy
FieldMap is a business and professional software service intended for users 18 years of age or older. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
15. United States Service
FieldMap is currently intended primarily for customers and users in the United States. Our services and systems may process and store information in the United States.
16. Third-Party Websites and Services
FieldMap may link to third-party websites, products, integrations, or services. We are not responsible for independently operated third-party privacy practices.
17. Changes to This Privacy Policy
We may update this Privacy Policy periodically. When changes are made, we will update the Last Updated date and may provide additional notice for material changes where appropriate.
